2. Information you provide
We collect what you type into our forms. That is normally your name, work email address, telephone number, company, role, area of interest, expected timing, and whatever you choose to write in the message field. We do not require you to create an account to browse this site.
3. Contact and call-back forms
Our contact form and call-back form send your submission to our team by email so a consultant can follow up. Submissions are also recorded in the website’s operational records. Please do not send confidential information through these forms.
4. Engagement purchases
If you purchase an engagement, we collect the details needed to fulfill it: your name, billing and contact details, the engagement selected, and the transaction reference.
5. Payment processing through Stripe
Payments are processed by Stripe. Card details are entered on Stripe’s systems and are handled by Stripe under its own terms and privacy notice. Transform Pilot’s website is not intended to store your full card details; we retain transaction references and operational records of the purchase.
6. WooCommerce account and transaction data
This site runs WooCommerce. If you create an account or place an order, WooCommerce stores your account details, order history, and related transaction records in the website’s database so we can service the engagement.
7. Campaign attribution and UTM parameters
When you arrive from a campaign link, the URL may carry parameters such as utm_source, utm_medium, utm_campaign, utm_content and utm_term. We record these, along with the page you landed on, the referring address, and the timestamps of your first and most recent visit, so we understand which campaigns produce inquiries. These values are attached to a form submission when you send one.
8. Local storage and cookies
Campaign attribution is stored in your browser’s local storage on this site’s own domain. It is not shared with a third party by that mechanism, and clearing your browser storage removes it. WordPress, WooCommerce and our security and caching providers may also set cookies that are necessary for the site, your cart, and your session to function. Our Cookie Policy describes cookie use in more detail.
9. Analytics and measurement
We use analytics to understand how the site is used — for example which pages are viewed and which links are clicked. Analytics events carry the page address and campaign parameters. We do not send the contents of your message, your name, your email address or your telephone number to analytics.
10. Cloudflare and security-related processing
This site is served through Cloudflare, which processes requests to deliver the site and to protect it from abuse. Cloudflare may process technical information such as your IP address and request details for those purposes.
11. Microsoft, CRM and business-system processing
We use Microsoft business applications to run our own operations. Where we manage enquiries in a customer relationship management system, the details you submit and the campaign attribution described above may be recorded there so we can respond and maintain the commercial relationship.
12. Service providers
We rely on service providers to operate this site and our business, including our hosting provider, email delivery provider, payment processor, security and content-delivery provider, and analytics provider. They process information on our behalf for those purposes.
13. Why we use your information
To respond to your enquiry; to deliver and support engagements you purchase; to operate, secure and improve the website; to understand which campaigns are effective; and to keep the records our business needs.
14. Retention
We keep enquiry records for as long as we need them to respond and to maintain a record of the discussion. Transaction and account records are kept for the periods our financial and operational obligations require. Campaign attribution held in your browser’s local storage stays until you clear it.
15. Security safeguards
We use measures intended to protect information handled through this site, including encrypted connections and access controls, and we use a payment processor so card details are not handled directly by this website. No website or method of transmission can be guaranteed to be completely secure.
16. Your choices and requests
You can ask us what enquiry information we hold about you, ask us to correct it, or ask us to delete it, by contacting [email protected]. You can clear campaign attribution by clearing your browser storage for this site, and you can control cookies through your browser settings. We will respond to requests as required by applicable law.
17. Children’s information
This site is intended for business use by adults. It is not directed at children, and we do not knowingly collect information from children. If you believe a child has sent us information, contact us and we will remove it.
18. Health information
Some of our work supports healthcare organizations. Our general website forms are not intended for clinical or patient information. Please do not submit protected health information or other sensitive medical information through the forms on this website.
